Our team operates across four different countries and two continents, comprising over 300 full-time employees when fully staffed. We focus on constant innovation; our mission is to bring state-of-the-art user experiences to European countries to support people's fashion, beauty, and lifestyle needs. We work dynamically, continually building new relationships and collaborating with various teams across Zalando, with frequent stakeholder touch points across the majority of organizations within Zalando, as well as engaging externally.

We are seeking a highly skilled and dynamic Personal Assistant to Vice President Personalization and Recommendation to join our leadership team. This role supports our VP and their team in an organization dedicated to revolutionizing the European fashion, beauty, and lifestyle sectors through constant innovation. The ideal candidate will blend strategic insight with operational excellence, thriving in a fast-paced environment that spans multiple countries across continents. With over 300 full-time employees worldwide, your role is fundamental in driving the productivity and effectiveness of our VP and their team.

WHAT WE'D LOVE YOU TO DO (AND LOVE DOING)

  • Support to VP: Enhance the VP's effectiveness by managing high-impact priorities, building and maintaining stakeholder relationships, and focusing on strategic objectives.

  • Calendar Management and Daily Support: Maintain an extensive and dynamic calendar, organize daily schedules, and provide comprehensive administrative support.

  • Travel Arrangement and Trip Planning: Manage complex logistics for international travel, ensuring seamless arrangements from transportation and accommodations to detailed agendas.

  • Event Ideation, Planning, and Organization: Develop and execute impactful events aligned with organizational goals, promoting team cohesion and stakeholder engagement.

  • Strengthen Leadership Team Connections: Facilitate robust connections within the VP’s direct staff and ensure alignment with the broader team’s goals and initiatives.

WE'D LOVE TO MEET YOU IF

  • Minimum Bachelor’s degree in Business Administration, Management, or related fields; Master’s degree preferred.

  • Extensive experience in executive support roles, particularly in supporting senior leadership in global, large-scale organizations.

  • Fluent in English; proficiency in additional languages such as Chinese is beneficial.

  • Prior experience in a technological, innovative environment.

  • Proven capability to create efficiencies for senior leadership.

  • Leadership: Demonstrated experience in a leadership role, with a deep understanding of corporate strategies, organizational structures, and innovative practices.

  • Operational Excellence: Proven track record in calendar management, complex travel coordination, and meticulous event planning and execution.

  • Communication and Interpersonal Skills: Exceptional communication abilities with expertise in building relationships across various organizational levels.

  • Global Experience and Cultural Sensitivity: Experienced in managing operations across multiple continents with the flexibility to adapt to various cultural dynamics.

  • Proactive and Growth Oriented: Quick learner with a proactive approach to identifying improvements and preparing for evolving business needs.

  • Technical Proficiency: Well-versed in modern office and project management tools.

  • Reliable and Resilient: Thriving in ambiguity, navigating uncertainty with ease and bringing clarity to complex situations. Reliable and with attention to the details, possesses high degrees of integrity.

WHAT TO EXPECT

Prepare for various complex situations ranging from planning international trips to orchestrating large-scale events and managing strategic calendar schedules. This role requires agility, independent thinking, strategic planning, high speed of execution and fostering strong, effective internal and external organizational networks.
