WHAT WE’D LOVE YOU TO DO (AND LOVE DOING)
You will manage the schedule at executive level. Make sure that meetings are prepared and keep an eye on the agenda and contacts.
You will take care of travel management including booking hotels, flights, trains, and rental cars, as well as handling travel expense reimbursements.
You will collaborate on different projects (e.g. planning and coordinating office space). In case of new administrative processes that affect various departments, you will function as a central point of contact.
You will work together with the SVP, VPs and leadership team to make sure that all administrative and organizational tasks run smoothly.
You will play an active role in building a great community by supporting onboarding processes for new hires and facilitating relationship-building within and among our teams (e.g. through organizing events).
WE'D LOVE TO MEET YOU IF
You have a minimum of 4 years of experience as an executive assistant or assistant to leadership.
You convince with your administrative and organizational skills, as well as the ability to maintain a realistic balance among multiple priorities and an agile environment.
You can take initiative, understand deadlines and carry multiple projects at the same time.
You hold excellent communication and negotiation skills in English, as well as the confidence to communicate with and convince multiple stakeholders and senior management. German skills are a plus.
You have expertise in Google Workspace (Gmail, Docs, Calendar, Sheets, Slides, Forms, Sites, Drive), as well as experience with expenses and procurement tools.
You display strong team-building and collaboration skills to help create a cohesive and fun environment.
